This statement sets out the frameworks within which Hels Belles Agency Ltd collects, stores and uses personal data, as part of our responsibilities under the General Data Protection Regulations (for individuals, sole traders and partnerships) and Privacy and Electronic Communications Regulations (for corporate entities).

What data do we collect and process?

Data that we collect may include, but is not limited to:

  • Full name

  • Address

  • Telephone numbers

  • Email addresses

  • NI Numbers

  • Bank Details

Sensitive personal data, other than where relevant financial information, is not collected by Hels Belles Agency Ltd.

What do we do with that data?

How we use your personal data depends on your relationship with us.

Data on our clients will be used for our legitimate business interests. This may include, but is not limited to:

  • Sending you promotional materials or other communications

  • Responding to your enquiries

  • Communicating with you about, and administering your participation in, training, events, and pitches

  • Operating and communicating with you about our social networking applications

  • Operating, evaluating and improving our business (including developing new services; enhancing and improving our services; managing our communications; and performing accounting, auditing and other internal functions)

Data regarding companies that is available in the public domain, or through providers or organisations’ own websites and other profiles, may be processed for limited electronic marketing activities within our legitimate interests. 

What’s our legal basis for processing your data?

The lawfulness of our data processing may be based on:

  1. A contractual obligation to you: this includes any relationship where we are contracted or otherwise employed by you to provide with you for a service, with or without charge

  2. Our legitimate business interests: this may include the marketing of our services to you by any means

Who might we share your data with?

Personal data that we collect regarding clients may be shared with partner organisations to enable the delivery of works, contracted or otherwise, in our clients’ name. 

Do we transfer your data internationally?

From time to time, Hels Belles Agency Ltd may engage with international partners to provide our business services. In these instances, personal data transferred will be overseen and restricted by the associated Manager, and will be limited to names and addresses only.

How do we secure your data?

In order to facilitate either the sharing of data with our partners, or our internal business operations, we use cloud services to store and process data. 

Wherever practical, and in the vast majority of cases, data we hold is stored securely on our own internal server. Data is not stored locally on portable devices, and can only be accessed with internal IT credentials.

We also maintain appropriate administrative, technical and physical safeguards designed to protect the personal information you provide against accidental, unlawful or unauthorised destruction, loss, alteration, access, disclosure or use.

What are your rights?

  • You may request in writing, at any time, access to, correction of or erasure of your personal data that we hold.

  • You may request in writing, at any time, that processing of your data is restricted to certain activities.

  • You may request in writing, at any time, to receive a copy of your data in a format that is compatible with other business’ systems.

  • You may withdraw your consent to this document at any time.

Should you at any time wish to submit a complaint, please contact the Data Protection Officer in the first instance. If your issue is not resolved to your satisfaction, you have the right to lodge a complaint with the Data Protection Authority – in this case, the Information Commissioner’s Office.

What are our commitments, and how can you exercise your rights?

We undertake to hold your data as accurately and securely as is reasonable to meet our obligations under the General Data Protection Regulation (GDPR) (EU) 2016/679, the Data Protection Act 2018, and this agreement. We will also endeavour to make the period that we retain your data for as short as possible without compromising our financial, legal, or similar obligations.

You can exercise your rights listed above by getting in touch with us in writing at bookings@helsbelles.com. Where you have submitted a request to us in writing, we will:

  • Acknowledge receipt of your request within five working days

  • Provide a response to your request within thirty days

  • Where we are unable to complete your request within this period, we will write to you to explain why, what actions we are taking, any progress we have made, and when we expect to be able to complete your request.

We reserve the right to issue a small charge to cover our administrative costs in responding any requests that we reasonably believe to be manifestly unfounded or excessive, as permitted by the relevant items of legislation.

Updates to our privacy policy

This Privacy Policy may be updated periodically and without prior notice to reflect changes in our personal information practices. We will indicate at the top of the Policy when it was most recently updated.
